Privacy notice

The short version: we only collect what we need to put up, change or take down a board, we don't sell it, and we don't run advertising or tracking on this website. The rest of this notice spells out the detail required by UK data protection law.

Last updated: 12 October 2026

01Who we are

Board-Up installs, changes and removes estate agency boards across the UK. For the information described in this notice we are the data controller — meaning we decide what is collected and what happens to it.

Questions, corrections and any data request should come through our contact page.

02What we collect

If you send an enquiry: your name, email address, phone number, agency name and the message you type.

If your agency works with us: the name, work email and phone number of the staff members we deal with, plus the property address, postcode, property reference, board wording, board size, preferred and actual dates, site contact and phone, access and parking notes, your specific requests, and any photos you attach.

For billing: your agency's name, billing address and contact, and the record of what was charged, invoiced and paid.

Our own records: job status changes, comments, who made each change and when, and a log of notifications sent. This is so both sides can see what was asked for and what was done.

03Why we use it, and the law behind it

We use information to carry out the work you have asked for, to confirm dates and access, to answer your questions, to send invoices and payment reminders, and to keep proper business and tax records.

The legal grounds we rely on are: performing our contract with your agency; our legitimate interest in running and improving a small trade business and keeping you updated about work we are doing for you; your consent where you have given it (for example, marketing contact); and a legal obligation for accounting and tax records.

We do not make automated decisions about you and we do not profile you.

04Photos

Photos attached to a job — of the property, the board, or the site — are stored privately and are visible only to Board-Up and the agency that supplied them. They are not published on this website and not shared with anyone else. If a photo happens to include a person or a neighbour's property, tell us and we will delete it.

05Who sees it

Our staff, and the people at your agency who have their own login. Agency users only ever see their own agency's jobs, photos, messages, invoices and reports — never another agency's, and never our internal notes.

We use a small number of trusted suppliers to host our database and files and to deliver email. They process information on our instructions and are not allowed to use it for anything else. We can give you a list of these suppliers on request.

We never sell your information, and we do not share it with advertisers.

06Where it is stored

Our systems are hosted and access-controlled, with private storage for photos and invoices. Some of our suppliers may process information outside the UK; where they do, UK law requires safeguards to be in place and we ask each supplier to confirm this before we use them.

07How long we keep it

Job records, invoices and payment history: six years from the end of the accounting year, because tax law requires it.

Enquiries that don't lead to work: twelve months, then deleted.

Staff login details: until the account is closed by you, by your agency, or by us when a working relationship ends.

08Cookies and tracking

This website does not use advertising, social media or analytics cookies, so there is nothing to opt out of and no consent banner needed. When you sign in, your browser stores a small session record so the site knows you are logged in, and the app sets one short-lived preference cookie to remember whether a menu is open or closed. Both are essential for the service to work and neither follows you around the web.

09Your rights

You can ask for a copy of the information we hold about you, ask us to correct anything wrong, ask us to delete it, ask us to stop using it in a particular way, or ask for it in a portable format. Where we rely on your consent you can withdraw it at any time.

Staff of an agency should usually raise a request through their own agency first, since the underlying job records belong to that agency's work — but you can contact us directly and we will handle it.

We will reply within one month. There is no charge.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or by phone on 0303 123 1113.

10Children

Our service is for business use and is not aimed at anyone under 18, so we don't knowingly collect their information.

Use the contact page and we'll answer plainly, in writing, without passing you to a form letter.
